About This Position

The Shipping and Customs Officer is responsible for arranging, monitoring, and updating Shipping and Customs activities to ensure all goods are delivered safely and timely in accordance with project and asset management requirements. The role involves planning transport activities, managing freight forwarder relationships, preparing customs documentation, and ensuring compliance with applicable customs rules and regulations. The officer also supports budget planning for transport and maintains traceability of all shipping and customs documents.

Key Responsibilities

  • Contribute in preparing specific procedures for Shipping, Customs and packing of goods
  • Contribute in preparing the technical enquiry package for Shipping and Customs services
  • Assist the Shipping and Customs Manager in planning Shipping and Customs activities for both Project and Asset Materials
  • Review scope and documentation, prepare Transport Plan and define the best means of transport according to goods weights, dimensions, transit route/time, schedule and costs
  • Assign shipments to freight forwarders under existing Transport Agreements at the most efficient and cheapest rate
  • Prepare dedicated Purchase Requests for transport contracts when no Transport Agreement covers the scope
  • Prepare documents required for import, export and transit formalities in accordance with applicable Customs rules and regulations
  • Monitor shipment status from goods collection to completion and prepare Service Entry Sheets
  • Promptly notify Saipem Insurance department when shipment value exceeds Corporate Insurance deductibles or when damage occurs during transportation
  • Use SAP for management of Shipping and Customs activities and ensure timely updating
  • Archive and maintain traceability of Shipping and Customs documents
  • Support the material purchasing department in defining budgets for transport and best contractual delivery terms
  • Provide feedback on Owners, Freight Forwarders, and Customs Agents' performances using Saipem's available software

Minimum 5 years' experience in shipping and/or freight forwarding
