About This Position

The Travel Officer is responsible for managing travel and temporary/in-transit accommodation requirements for all staff in accordance with corporate and company policies. The role involves booking airline tickets, coordinating hotel accommodations, managing transportation arrangements, and handling related documentation and invoicing. The position falls under the HR department within the Asset Based Non-Drilling business line.

Key Responsibilities

  • Booking and coordination of airline tickets and hotel accommodation submitted via travel requests
  • Managing air and transportation booking process for relocations, home leaves, and expatriations
  • Working with local realtors and property managers to provide temporary/permanent housing for relocations, home leaves, and expatriations in coordination with the Facilities Coordinator
  • Providing guidance to travelers and administrative assistants regarding travel-related issues
  • Planning itineraries for travel and accommodations using knowledge of routes, types of carriers and regulations
  • Liaising with Drivers' Coordinator to ensure all transportation arrangements are in place for travelers
  • Liaising with hotels to ensure proper payment authorizations and answering inquiries regarding fares, availability of travel, and accommodation
  • Processing and handling documentation for travel logs and monthly department reporting
  • Maintaining spreadsheets for tracking housing, business travel and vacation of Expatriates
  • Handling incident reports and working with insurance carriers on claims processing
  • Handling expense report verifications for personnel to ensure proper submission of payments
  • Managing related invoices and utilizing SAP tool for processing of invoices
  • Reviewing vendor proforma invoices and checking for accuracy
  • Issuing work orders and/or service entries
  • Providing final invoices with backup to the Accounting Department for payment
  • Any other duties as assigned
